 Position Summary

 The Specialist, Business Development provides marketing and administrative support to the Business Development Team with a primary focus on activities in Japan, China and South Korea. The Specialist assists in marketing the province of Alberta as a tourism destination and is responsible for delivering on Travel Alberta’s business objectives in the following areas:

Business Development Team Support

  • Support and facilitate the development and implementation of Business Development programs aimed at marketing Alberta to and with travel trade, MICE, and targeted travel segments in support of Travel Alberta’s strategic priorities in assigned markets.
  • Support the development of joint marketing agreements (JMAs) with trade partners such as tour operators, airlines, Destination Canada, and other PMOs in assigned markets.
  • Work with the Business Development Team to support tour operators, receptive tour operators, wholesalers, retailers, OTAs, MICE agencies and meeting planners to increase Alberta product offerings and sales to Alberta.
  • Work with the Business Development Team to support Alberta tourism partners across the province who are interested in becoming export-ready to sell their experiences to international travellers. Support the enhancement of existing experiences and itinerary development to grow visitation and strengthen Alberta’s competitive position in international markets.
  • Work collaboratively with Global Media and Content, Digital Platforms and the Consumer Marketing teams in the delivery of Alberta’s messages in assigned markets.
  • Provide support to other markets to manage work capacity, absences and/or holidays within the Business Development Team, and specifically the Specialist Team.

Business Development Trips

  • Develop, manage and execute business development trip logistics to educate Travel Alberta's key travel trade and MICE partners in assigned markets to grow Alberta’s market share.
  • Complete or develop all required business development trip documentation and forms including:
    • Project Authorization Summary (PASs)
    • Request for Assistance (RFAs)
    • Trip Itineraries
    • Participant Waivers
    • Participant Evaluations
    • Hospitality Corporate and Working Session Approval Forms
    • Gift Prize Award Forms
    • Travel Authority Forms
    • Project Evaluations
    • Liaise with appropriate Destination Marketing Organizations (DMOs) and contact tourism businesses directly to arrange business development trip experiences and services as required.
    • Guide and host business development trips for travel trade and MICE clients as required.
    • Contract and secure transportation and guiding services as required.
    • Work collaboratively with the Finance Coordinator, Business Development, to manage business development trip budgets and invoicing to comply with internal financial requirements.
    • Maintain up-to-date information and product knowledge on new and existing Alberta tourism experiences and include relevant experiences in business development trips.
    • Ensure the shared business development trip calendar is up to date.
    • Share key learnings and insights from clients and Alberta industry partners with the Business Development Team (and other lines of business, as applicable) as part of the post trip debrief and evaluation process. 

Tradeshow and Event Coordination

  • Coordinate and assist with all bookings and operational logistics for tradeshows and events targeting the trade and MICE markets, as required (décor theming, collateral purchase and design, coordinate setup, partner communication and operational logistics).
  • Schedule appointments and manage master schedules for the Business Development team members attending tradeshows/marketplaces such as Rendez-vous Canada (RVC), Canada's West Marketplace (CWM), IMEX, MPI and ASAE.
  • Compile client profiles and meeting summaries, and follow-up on various requests following tradeshows/marketplaces.
  • Support the Business Development Team and In-Market Representatives in their use of CRM software to prepare for and track all discussions between the Business Development Team and clients during marketplaces and tradeshows.
    • Create briefing binders and other required documents for the Business Development Team and/or the broader Travel Alberta Team as required for tradeshows/marketplaces

Marketing and Project Logistics

  • Develop and review business development Project Authorization Summaries (PAS), including a detailed project work-back schedule, Partnership Agreements, Travel Authorities, or other project requirements, in collaboration with the Director, Business Development and In-Market Representatives.
  • Review and process Hospitality Corporate and Working Session Approval Forms, Gift Prize Award Forms or other internal operating forms to support the Business Development Team and In-Market Representatives to comply with internal financial requirements.
  • Assist Business Development Team Members and In-Market Representatives to prepare training presentations.
  • Work with the in-market teams to ensure the ATIS listings, tour operator packages and offers are kept up to date.
  • Maintain Travel Alberta’s online Trade and MICE presence by ensuring all content, listings with associations, RFP engines, and publications are current and on brand.
  • Manage and support the development and deployment of Business Development trade and MICE e-newsletters/e-blasts including using UTM coding to track data in collaboration with the Digital Platforms Team.
  • Support the Business Development Team in preparing for and managing translation requests through external translation service provider(s).
  • Work with the Business Development Team to develop export ready itineraries for tour operators, receptive tour operators, wholesalers, retailers and OTAs to increase Alberta product offerings and ultimately increase sales to Alberta.
  • Work with the In-Market Representatives and the Global Media & Content Team to approve and develop online and offline content for a variety of mediums. 
  • Support in-market teams with registration, creative development and promo items for client events and sales missions.
  • Lead the completion of project evaluations in collaboration with the Business Development Team and In-Market Representatives to ensure timely performance review and reporting.
  • Responsible for special projects and other duties that support market development and strategic priorities.
  • Travel as required for Business Development Team meetings, trips, tradeshows, and educational events.

Relationship Management

  • Maintain relationships and communication flow between the internal and external Business Development Team by communicating in a timely manner and by actively participating in regularly scheduled calls with in-market teams.
  • Support the In-Market Representatives by carrying out tasks related to projects or clients, and by providing guidance and feedback.
  • Support the Business Development Team in their use of CRM software to manage and maintain client and stakeholder relationships. Responsibilities include timely input of data, uploading of lists, conduct simple searches, send e-blasts, create and maintain templates, and pull or create various reports.
  • Establish and maintain effective business relationships with stakeholders, DMOs, industry partners, PMOs, Destination Canada, wholesalers, tour operators, receptive tour operators, MICE operators and agencies as it relates to Business Development initiatives. 
  • Organize logistics for Business Development Team meetings and DMO/Partner meetings with Travel Alberta headquarters. 
  • Provide communication to industry on Business Development programs and market initiatives as required.
  • Support maintenance of social media channels for travel trade and MICE.
Budget Maintenance and Administrative Requirements
  • Support Finance Coordinator, Business Development, and the Finance
    Team in financial compliance and administration within Travel Alberta and specifically for the Business Development line of business contributing to the accuracy, proficiency and accountability of the Business Development Team.
  • Work with the Finance Coordinator, Business Development, to process internal documents required by Finance including Accounts Payable/Receivable invoices and all supporting documentation to ensure full compliance to internal processes.
  • Work with the Finance Coordinator, Business Development, in completing internal forms and processes for Project Authorization Summaries, Contractual Agreements, Partnership Agreements and all supporting documentation to ensure full compliance to internal processes.
  • Work with the Finance Coordinator, Business Development, to monitor, update and reconcile project, market and business unit budgets on an on-going basis.
  • Work with the Finance Coordinator, Business Development, to develop quarterly budget reforecasting.
Business Unit Reporting
  • Proactively work with the Business Development Team to collect performance measures and develop business unit reports such as the MD&A and MIR that contribute to Business Development proficiency, performance indicators and the corporate scorecard.
  • Work with the Business Development Team and In-Market Representatives to prepare scorecard reports by obtaining results from key accounts and DMO partners and keep the Business Development Team apprised of relevant targets and due dates.
  • Develop marketing reports as required and assist with required year-end auditing to support operational and marketing performance measures.
  • Research and compile statistical information for reports relating to Business Development programs.
  • Develop and submit Business Development Team news and successes on the Travel Albertan on a monthly basis.

Additional Requirements

  • A tourism/hospitality, business or marketing diploma and/or degree is preferred.
  • Relevant work experience and proven achievements working in tourism or business development would also be considered.
    • 3-5 years in a tourism sales or marketing position, or event management and/or operations
    • Experience working with foreign markets, and with foreign currencies specifically for China, Japan and Korea is an asset.
    • Foreign language skill in Japanese, Korean and/or Chinese (Mandarin) is an asset.
    • Critical thinking and problem solving is required intuitively.
    • Fundamentals of budget management is essential.
    • Time management and accountability for projects and to others.
    • Must be available to work flexible work hours to deal with time zones and support the markets. 
    • Commitment to delivering on performance objectives.
    • Comfort in handling multiple tasks with minimal supervision.

Salary: $60,216-78,288
