Position Summary
The Cooperative Marketing Coordinator provides support to the Industry Development team by coordinating Travel Alberta’s Cooperative Marketing Investment program. This position is integral to the success of the Cooperative Marketing Investment program and to Travel Alberta’s ability to Grow Tourism Revenues and Drive Organizational Excellence by upholding Travel Alberta’s reputation and financial accountability.

Program Coordination
  • Receives, records, assigns, tracks and monitors Cooperative Marketing applications; 
  • Provides input on applications where appropriate; 
  • Receives and reviews project evaluations, reconciles all project expenses, and processes invoices; 
  • Tracks projects and communicates with project managers regarding approvals, evaluations, and payment;
  • Maintains filing and accurate record keeping for Cooperative Marketing projects;
  • Provides support to the Cooperative Marketing Team. Coordinates materials, develops timelines and critical paths, ensures deadlines are met;
  • Maintains project materials database. Mails project-related items to partners, scans and documents materials, creates hardcopy project catalogues and files project-related materials;
  • Provides assistance for special projects for the Industry Development team, as required;
  • Works with Cooperative Marketing Managers to accurately track budgets and Cooperative Marketing allocations by region;
  • In alignment with Travel Alberta logo guidelines, maintains program integrity through approval of logo use on project marketing materials;
  • Receive, review and catalogue sample marketing materials for Cooperative Marketing projects

  • Compiles monthly status reports of projects and leverage verification for Finance;
  • Compiles statistical information for reports relating to Cooperative Marketing programs; 
  • Compiles and submits monthly report to the VP, Industry Development reflecting YTD budget reporting and allocations; 
  • Creates project summary reports by region as needed for all approved Cooperative Marketing projects;
  • Maintains budget projections and monthly accruals and reporting

Policies and Procedures
  • Adheres to established best practices for the Cooperative Marketing program; 
  • Recommends improvements to policies and procedures 

  • Provides information to the Industry Development Team, by maintaining electronic file systems including CRM and the Cooperative Marketing project database;
  • Uploads Cooperative Marketing content to the industry website using sitecore.

Internal Relations
  • Works closely with the Cooperative Marketing Managers in the processing and evaluation of Cooperative Marketing applications and projects;
  • Works with Finance department to ensure information is recorded in all tracking mediums 
  • Works with Finance department to ensure projects are processed in a timely manner; and
  • Communicate with other Travel Alberta departments to ensure strategic alignment of Cooperative Marketing projects.
  • Assists with reception lunch coverage on an as needed basis

External Relations
  • Builds positive relationships with industry stakeholders through prompt and effective communication; 
  • Anticipates the needs of industry and is prepared to respond; and 
  • Responds to all general inquiries regarding Cooperative Marketing.

Additional Requirements
  • Office administration or other support role 
  • Experience working with and tracking budgets 
  • Experience that has developed strong communication skills 
  • Experience that has established strong organizational, prioritizing, problem solving, communication and relationship building skills
  • Experience in the tourism industry
  • Strong MS Office user (Word, Excel, Outlook)
  • Proven administrative skills including: process and system improvement and development, budget updates, management of live budget, expense processing, report tracking and creating, presentation creation, and minute-minute taking. 

Your degree or diploma in Tourism, Business, Administration, or related area is complemented with two to three years of experience working in a Coordinator role. This position is based in Calgary, Alberta 

Limited domestic travel is required

Employment status: Full Time

Salary: $50,928 – $63,648 per annum
