What is the role of the Lethbridge Destination Management Organization (LDMO)?

SUMMARY
Reporting to the Executive Director, the Visitor Services Coordinator carries out reliable and effective front line aspects of the visitor services position: greeting and reception, admissions, program registration, statistics, security of exhibits, information and public safety, handling of request and referrals, and other duties as assigned. 

KEY RESPONSIBILITIES
• General showcase reception, 
• Greeting the public, special guests, inquiries from visitor information network, members and groups in a cheerful, receptive manner at all times.
• Ensures a positive and safe experience for all showcase users including exhibit visitors, program participants, and those participating in on-site rentals.
• Provides and maintains accurate information about the showcase, exhibits, programs and services.
• Is front line for all phone calls, website generated requests (chatbot), and visitor information network calls, for information or appropriate referral.
• Meets specific visitor needs; enhancing access and encouraging return visits.
• Opens/closes showcase and exhibit areas, is attentive to and responds to showcase and Exhibit Security and emergency response at all times. Performs regular walk-through of galleries and maintains awareness of gallery activities.
• Captures accurate statistical site usage (visitors), calls for information (Website and Visitor Information Network [VIN]), and marketing and membership data.
• Records various statistics on an Excel database for various agencies as well as internal reports; capturing accurate marketing and membership data.
• Assists with public, attraction and VIN site, and school programs, and with showcase events including set up/take down and handling of promotional materials as required.
• Assists with administrative tasks as needed: mail pick up and processing, and purchasing staff supplies, maintaining forms, supply sourcing and ordering, correspondence, manual updates.
• Schedules and orients volunteers and shares responsibility for recognition and events including coordination of volunteers for special programs.
• Maintains a clean, business-like front-of-line work environment.
• Assists with other duties as required for reception and administration.

NECESSARY QUALIFICATIONS

Essential Skills:
• Positive team player with excellent communication, interpersonal skills and conflict resolution
• Proficient organizational and time management skills and strong multi-tasking abilities
• Proficiency with Word, Excel, Outlook, Social Media and other custom web interfaces
• Good business and mathematical skills, attention to detail and significant use of memory

Abilities:
• Ability to work under general direction
• Ability to process information accurately and within a deadline
• Aptitude for performing work requiring close attention to detail
• Ability to prioritize workload and to change priorities on short or little notice
• Good interpersonal skills at all levels

Education:
• Completion of college or university level tourism courses is preferred
• Knowledge of a second language would be an asset

Experience:
• Experience in sales
• Previous working experience with Customer Service is an asset
• Knowledge of Lethbridge, the history of our area and the community an asset
• Experience in a hospitality or service industry would be an asset
