Nature of the Organization 

Beakerhead Creative Society is the organizing team at the heart of an annual movement that culminates in a five-day spectacle bringing together the arts and engineering sectors to build, engage, compete and exhibit interactive works of art, engineered creativity and entertainment. The society’s activities at the provincial, national and international level are coordinated by a core secretariat located in Calgary, Alberta.  
Beakerhead transforms Calgary – with contests, mechanical sculpture gardens, robot fashion shows, interactive street art, feats of engineering, larger-than-life theatre, and spectacular performances.  

Primary Purpose of the Position 
Under the general direction of the Chief Commercial Officer, the Ticket Manager will implement and oversee ticketing and Point-of-Sale (POS) systems during Beakerhead September events.  
The primary role of the ticket manager will be to ensure that ticket collection and payment runs smoothly on Beakernight, creating an exceptional customer experience for the 50,000 people expected to attend.  

Nature of the Work 
This is a results-oriented, operations-based position that is perfect for a high achiever with a positive and enthusiastic attitude. This position is a part-time role with only a few hours per week to start in July, and building up to a full-time week over Beakerhead in September. Weekend and evening hours will be required the week before and the week of the event. The successful candidate can work a flexible schedule to accommodate slow and peak periods of work, and this may be accomplished in conjunction with work from a home office. A clear scope-of-work will be discussed at the point of hiring, to ensure clear direction and expectations.   

Primary Roles & Responsibilities 
Primary role: Planning and implementing ticketing system and POS systems Secondary role: Assisting in hiring and planning for ticket-taking and cashier roles, including training. Support roles: Customer support; being on-call during the week of Beakerhead to answer questions about the event, and offering support in ticket purchase.

Tasks and Duties 

Scope of work includes:
  • Assist in the building and testing of ticketing servicesEnsure PCI compliance
  • Ensure seamless interface with online sales platforms and devices
  • Develop and implement cash policy • Manage the testing of ticketing and POS equipment
  • Coordinate the setup of ticket booths and venue box offices
  • Ensure ticketing and POS are running smoothly during the event
  • Manage the creation of training materials for the ticket staff
  • Coordinate the training of ticket staff
  • Revise staff deployment according to attendee volume, and make changes as appropriate to meet the demands
  • Arrange cash floats
  • Manage all financial tracking of cash floats, and monitor cash-on-hand at POS sites accordingly
  • Coordinate with the Office Manager regarding bank deposits and float resents
  • Assist in arranging POS and ticketing systems in a way that enhances the customer experience
Qualifications/Expertise Required 
The position requires outstanding organizational and leadership skills, along with data management skills and lots of endurance! It requires good judgment, strong communications skill, confidence and natural leadership abilities. This person must demonstrate a high degree of independence and initiative in developing and implementing a consistent and reliable ticketing and POS systems. Specific expertise includes: • Expert level experience with electronic ticket systems, sales databases and POS systems. Experience at festivals/events/theatres, etc. is an asset • Experience managing front-line sales in a busy, fast-paced environment • Exceptional skill and experience in handling and managing cash, reconciling cash outs and sales/front-line reporting • A customer orientation, and a strong desire to create an out of this world customer experience • Event management experience  • Superior organizational skills • Reliable and detail oriented • Ability to lead and motivate a team, and work well within a team, as well as independently • Creativity and problem-solving skills; ability to work within a fast-paced environment of a high performing organization • Ability to work flexible hours and capacity to work well under pressure • Excellent verbal and written communications skills

Accountabilities  

The primary accountability of this role is to ensure an exceptional customer experience for Beakernight attendees.  Beakerhead will be presented in a creative, energetic and professional manner. Specific customer service targets will be defined and measured. The Ticket Manager will build, nurture and grow systems that help to build the world’s most talked about and respected annual creative engineering spectacle.  

Remuneration 
This is a fixed term contract position that requires an independent self-starter with leadership ability and experience. As such, it offers the opportunity of a flexible working environment, including work from home. The hours vary throughout the contract. Position start date will be July 2, 2018 ending on September 24. Estimated 4 hours per week in July, 4 hours per week in August, full time September 3 – 7, and more than full time September 10 – 24. Compensation will be $5,250 flat for the contract.
